Academic Integrity

Reporting Academic Integrity Violations

Faculty who suspect a student may have engaged in an Academic Integrity Violation are strongly encouraged to consult with staff in the Office of Student Conduct & Academic Integrity (OSCAI) regarding the applicability of the Code of Student Conduct, potential courses of action, and guidance on imposing appropriate sanctions. A staff member in OSCAI can be reached by calling (757) 683-3431. Please note: graduate students are normally reviewed for suspension or expulsion, even for a first academic integrity violation.

Faculty should submit a referral to OSCAI within 10 business days of the alleged violation's discovery. Submitting written referrals is essential to the University's ability to address patterns of academic integrity violations, and to developmentally determine appropriate sanctions based on the totality of the student's record.

RESOLUTION OPTIONS: VOLUNTARY RESOLUTION OR HEARING
Faculty are encouraged to meet with the student prior to submitting a referral in order to discuss the allegation and/or seek a voluntary resolution. If the faculty member meets with the student and the student denies the allegation, or the faculty member believes the severity of the alleged violation warrants a response greater than a grade sanction, the faculty member should refer the matter directly to the Office of Student Conduct & Academic Integrity for a hearing by submitting the online referral form.

If the faculty member meets with the student, the student acknowledges the violation, and the faculty member is satisfied that the incident can be effectively resolved with a grade sanction, the faculty member should ask the student to sign the Academic Integrity Voluntary Resolution Form (or have the student email the faculty member from the student's ODU-supplied email account) to indicate the student's acceptance of the proposed resolution.

WHAT TO INCLUDE IN A REFERRAL

  • A copy of the signed Academic Integrity Voluntary Resolution Form (if the student acknowledged the violation and accepted the proposed resolution)
  • A copy of the course syllabus
  • Copies of any relevant communications between the faculty member and the student
  • Copies of written assignment instructions (if not contained in the syllabus)
  • Copies of assignments or exams (when relevant to cheating, though please note the student may have full access to these assignments/exams and any answer keys provided)
  • In cases of plagiarism, faculty should provide a copy of the student's paper and the source text(s) from which the faculty member suspects the student has plagiarized. The student paper should have suspicious passages highlighted and numbered to correspond to highlighted and numbered passages in the source text(s). These copies will help identify passages and sources of concern.

To assist faculty in reporting violations, the Office of Student Conduct & Academic Integrity has developed an online Academic Integrity Referral form. The online referral form provides an overview of the reporting process and enables faculty to submit a complete referral directly to OSCAI.

Referrals submitted online are preferred, though hand delivered copies or copies sent via USPS mail or campus mail will also be accepted.


ASSIGNING A GRADE OF "I" WHILE A CASE IS PENDING
No grade sanction should be assigned until the referral is finally resolved, including the process of considering the student's appeal, if any. Should the referral not be resolved prior to the end of the semester, a grade of "I" should be assigned. Faculty should allow the student to remain enrolled in their course and grade all other assignments as they normally would while the case is pending. Faculty will receive written notification of the final outcome of the case so that an appropriate grade may be assigned.

Promoting Academic Integrity

Faculty are encouraged to spend time in their courses discussing the importance of ethical academic conduct, making sure to highlight the underlying reasons why academic integrity matters to the institution, to one's academic discipline, to the faculty member personally, and to students.

Faculty can supplement these discussions by including appropriate language in their syllabi to reinforce expectations, explain university policies, and highlight any special academic integrity considerations related to their course or academic discipline.

At any time, faculty are welcome to invite a staff member from the Office of Student Conduct & Academic Integrity to present to their class regarding students' responsibilities as citizens of the academic community. Through dialogue and education, we can affirm our collective commitment to academic integrity.
