Following current industry standards, ODU does not offer the option to use phone call for two-factor authentication with Duo. Phone call authentication is subject to abuse like SIM hijacking and auto-accept mechanisms, and there are significant costs. Yes. While we encourage folks to transition systems to their ODU email addresses as their mailboxes are migrated, EVMS email addresses will continue to work.
We will work with departmental leadership to confirm scheduling before migrating any workstations. The aim is to disrupt as little as we can and operations are not adversely impacted.
The current schedule can be found here. That table is continually updated as more departments are finalized, and you will receive an email at least two weeks out from your migration date.
- Your device will have a new name.
- You will use your @odu.edu email address to log into your computer.
- Other websites and services may require your @odu.edu email address to log in OR your ODU/EVMS username.
- Some logins will require two-factor authentication with Duo Mobile.
- Your computer will go into sleep mode after 45 minutes of inactivity.
- Upon hitting CTRL+ALT+DEL you will see a Legal Notice informing you that the device is for authorized purposes only.
We recommend storing business files in OneDrive instead of your local hard drive, for several reasons:
- OneDrive files are accessible from any device with an internet connection and can be shared easily with colleagues. Additionally, when your computer is re-imaged as part of the tech integration, your files live safely in the cloud and are in no danger of being deleted.
- When your files are stored in OneDrive, you free up space on your computer's hard drive, allowing your device to perform better.
- Files are backed up and auto-saved. The latest version is always available, even if your computer crashes or the power goes out.

Not necessarily. Here are some things you can try:
- Give it some time; the application may still be in the process of installing.
- Check the Company Portal; the application may be available for installation.
- Reach out to the ITS Help Desk; a technician can help install the application if it is not available in the Company Portal.
No. During the migration process, your technical support person will help you back up your data, and they will make sure you can access that data afterward.
- Check all local folders and the locations where you backed up your data in case anything was moved.
- Keep checking your OneDrive cloud folder; your files may still be syncing.
- If you still can't find your files, contact the ITS Help Desk to see if recovery is possible.
- Make sure you are connected to the internet.
- Make sure you are connected to the VPN.
- Make sure you are using your new computer name.
- Restart your computer.
- Contact the ITS Help Desk for further assistance.
IP addresses and other network-based changes are not being done alongside the desktop migration.
Software installation can be done from the self-service portal or via a request to our technical support team.

Personal folders in Outlook (or PST files stored on your computer) will be automatically imported into your ODU mailbox for you. The process may take up to a week once your staff mailbox and workstation are migrated, but they will eventually show up in a newly created folder within your new mailbox.
ODU enforces retention policies on all messages in an ODU mailbox. Emails in your inbox and other folders will be automatically deleted one year from the date they were received unless they are tagged with an individual retention policy or moved to a folder with a different retention policy.
Yes, messages that are addressed to you @evms.edu will be forwarded to your ODU inbox indefinitely.
No, all of the emails in your EVMS mailbox will be migrated to your new ODU mailbox.

All of your saved emails will be transferred to your new ODU mailbox. However, ODU uses retention tags to ensure that messages are kept only as long as necessary for business purposes. By default, messages in your inbox are automatically deleted after one year.
You can set retention tags on individual messages or folders if you need to keep messages longer than the default time period.
There are planned improvements to the ODU Address Book that will include department information.
When your time to migrate comes, please ensure you list any shared mailboxes you use in the survey that is done. We will try to schedule shared mailbox as close to the owners/users as possible.
Yes, all personal folders will be migrated into your new ODU mailbox.
Some shared mailboxes will remain the same with @odu.edu instead, and some may need to be renamed if there is already an existing mailbox at ODU or if there is a need to better align with the ODU identity.
All EVMS addresses will be forwarded to the respective ODU account when your mailbox is migrated.
ODU Outlook mailboxes are limited to 100 GB of storage. Additional email may be stored in the Outlook Archive.

Your organization can't see your personal information when you enroll a device in Microsoft Intune. Enrolling your device makes certain information, such as device model and serial number, visible to IT administrators and support people with administrator access.

EVMS Zoom accounts need to be transitioned to ODU Zoom by August 22. Any scheduled meetings should be rescheduled using your ODU Zoom account as soon as possible. More information.

Your current EVMS VPN access will remain the same after migration. We will ultimately transition to the ODU VPN and will communicate and work with customers at that time.
You will need to be enrolled in MDM to access your ODU email, SharePoint and OneDrive (and other Office 365 apps including Word, Excel and PowerPoint) from a personal phone or tablet. More information.
VPN access is separate from Remote Desktop Access at ODU. You can access most services directly. Other services might require a VPN, but you likely will not need to remote into a desktop on campus.
Yes. We ask that you bring in all your devices so we can assist with any migration tasks when your endpoint and mailbox are being migrated.
ODU transitioned from Blackboard to Canvas a couple of years ago. We will pilot Canvas with a handful of courses at EVMS in the fall, with a plan to introduce Canvas campus-wide in the near future. More information.

Teams conversations on EVMS Teams will not be moved over. If the Team is hosted on ODU Teams, the conversations will remain in the team.
ODU Teams is capable of making direct Teams calls (Audio and Video) to any other Teams account as long as the outside organization permits it.
Complex SharePoint migrations will be scheduled later in 2024. We will work with the departments directly to migrate the SharePoint site to ODU SharePoint.
Network storage is not being migrated at this time. We will assist in re-connecting to network drives when your devices are migrated.
